Hey guys,
This is a very important message regarding the functioning of our core
committee..so please read on.
Lately our meetings haven't produced the desired results and have
ended up looking like slugfests.We haven't been able to take any major
(or minor for that matter) decision in these meetings with half the guys coming
out looking all grumpy an dissatisfied.So, I think its time for some
introspection.
Maybe we should have a proper procedure for conduction of
meeting, a code of conduct can be worked out.My suggestions are
1. THREE people for the smooth conduction of meetings.....
one acting as a facilitator, the other for writing official
minutes and and a meeting manager to set the agenda, prepare the
format beforehand, record the proceedings and to manage the stationery
, to prepare the seating plan and to invite concerned people to the
meeting.2. Cyclic rotation among the attendees for suggestion and
counter-suggestion to the proposed idea or agenda of the day. Everyone
should get a proper amount of Dias time to present his own agenda.
The facilitator and meeting manager should work out the proper
sequence beforehand.
3. All attendees should maintain a meeting journal with themselves so
they the can write their own agenda, suggestion & counter suggestion
and make optimal use of the time allotted to them. Later the meeting
manager can take ask for the journal to record the days proceeding and
put it up on the club's blog.
4.The meeting should be graded after the conclusion depending on the
no of decision taken,
quality of usage of time, new idea floated and the quality of communication.

In relation to the tech fest.Since our meetings haven't worked
well, there hasn't been any decision made about this as well...Maybe we
should talk in a step by step manner.....like.....
1. LOOKING FOR IDEAS
lets not debate about the feasibility ,etc. that can be worked out after
we get the money,we should have as many ideas as possible and decide on the number of events in the ideal scenario.
2. ORGANIZATION
Depending on the number of events we plan, we can thank about the number
of days,the date ,etc.
3. ESTIMATION AND FUNDING PLAN
4. A SHORT REPORT TO THE PRINCIPAL and S.V.S. etc.
we need to keep these
guys in the loop
5. HUNTING FOR THE FUNDS
begging will also do !
6. BACK TO STEP 1 and 2
depending on the amount we have with us, we can
omit/add some events,change the schedule, etc.7. PROPER PLANNING OF THE EVENT FROM A to Z
like the timings etc.
8. PUBLICITY
9. EVENT
There will obviously be some suggestions . We can discuss about this
in our next meeting.
